SmartFind

Employees will use SmartFind to report absences and to request substitutes, if needed.  Substitutes may use SmartFind to search for, and accept available jobs.  SmartFind can be accessed 24 hours a day, 7 days a week via the telephone and internet.

Registering with SmartFind

Prior to using SmartFind for the first time, employees must call 402-802-9155 to register.

  1. Call SmartFind at 402-802-9155.
  2. Enter your LPS Employee ID (omit any leading zeros) as your Access ID, followed by the star (*) key.
  3. Enter your LPS Employee ID (omit any leading zeros) as your PIN, followed by the star (*) key.
  4. Record your name and when complete, press the star (*) key.
  5. The system will prompt you to create a new PIN.  Your new PIN needs to be 6-9 digits long, and cannot be your LPS Employee ID number.

 

Forget Your Phone PIN?

  1. Access SmartFind online.
  2. Without logging in, click on the Trouble signing in? link under the log in boxes.
  3. Enter your LPS Employee ID (omit any leading zeros) as your User ID.
  4. Enter the security code that is displayed.
  5. Click on the Submit button.
  6. An email message containing your SmartFind phone PIN will be sent to your LPS email account.

 

Accessing SmartFind

From the LPS web site you may access SmartFind by using either of the keywords; absence or subs or by hovering over the Staff tab and clicking on the SmartFind link.

  1. In the User ID box, enter your LPS Email User Name.
  2. In the Password box, enter your LPS Email Password.
  3. Click in the I’m not a robot box and complete any accompanying tasks.
  4. Click on the Submit.

 

Reporting an Absence

Absences must be reported at least 45 minutes prior to your scheduled start time.  If after that time, it must be reported to the site administrator for entry.

  1. Click on the Create an Absence tab.
  2. Select the Reason for the absence by using the drop down menu.
  3. If a substitute is not required, change the default value of Yes to No.
  4. Select the Start Date of the absence by clicking on the calendar icon and selecting the date.
  5. Select the End Date of the absence by clicking on the calendar icon and selecting the date.
  6. You may specify a substitute by entering their Employee ID.  If unknown, click the Name Lookup button and search for the substitute.
  7. You may enter Instructions for the substitute, if applicable.
  8. You may attach up to three files to be viewed by the substitute by clicking on the Choose File button.
  9. Click on the Continue button.
  10. Verify the accuracy of the absence information displayed.
  11. Click on the Create Absence button.

 

Accepting an Available Job

Substitutes may search for and accept available jobs.

  1. Click on the Available Jobs tab.
  2. Click on the Search button to display jobs for today and tomorrow.  You may select a larger date range by clicking on the calendar icons and selecting another date.
  3. Click on the Details link to view information pertaining to the job.
  4. Click on the Accept Job button.
  5. The Job Number is displayed.
  6. Make note of the Job Number as it is required for the Time and Attendance System (TAS).
  7. Click on the Return To List button.

SmartFind Calling Times

Morning Call Out begins at 5:30 AM for jobs that are happening that day and will keep calling throughout the day until the job has been accepted or when 25% of the job’s time has passed.

Evening Call Out begins at 5:00 PM for future jobs up to 30 days in advance.  The evening call out period will end at 10:00 PM.

Absence Reporting Deadline for Employees

Absences must be reported at least 45 minutes prior to your scheduled start time.  After that time, it must be reported to the site administrator.

Absence Cancellation Deadline for Employees

Absences must be cancelled at least 1½ hours prior to the scheduled start of the absence.  After that time, it must be reported to the site administrator.

Job Cancellation Deadline for Substitutes

Jobs must be cancelled at least 1½ hours prior to the scheduled start time of the job.  After that time, they must notify the site administrator.  If the cancellation is prior to the arrival of the site administrator, the substitute may contact the SmartFind Operator.

When Do Jobs Go Unfilled?

Jobs are unfilled once 25% of the job’s time has passed.  At that point, SmartFind stops calling and the job is no longer available for substitutes to pick up.  Site administrators may change the substitute start time on an unfilled job, thus allowing SmartFind to continue working to fill the job.
