WFM Leave Accruals and Leave Cap

Are you reaching your cap on leave?

All employees have a different cap on their leave balances depending on their bargaining group and years of service. Please refer to your handbook and agreement here through the LPS website for your cap on leave.

Certified staff earn annual leave at the beginning of their fiscal year. Any remaining annual leave at the end of the school year is moved into their accumulated sick leave balance.

Classified less than 260-day staff can accrue sick and special leave based on their agreement located on the Human Resources webpage.

Classified 260-day staff can accrue sick, special, and vacation leave based on their agreement located on the Human Resources webpage. The number of hours accrued monthly differs for each bargaining group and may change based on years of service.

All leave is prorated per payroll guidelines.

WFM accrues leave on the last day of the month, which may or may not be an actual pay day. If you enter an absence for the last day of the month, and are at your cap for that leave, WFM will first accrue leave, then remove any accrued leave over the cap before decrementing your absence. You must be below your leave cap before the last day of the month.

Example of an employee at their cap and being absent day of accrual:

This employee had a starting vacation leave balance of 480 hours. They accrued 13.33 hours on 1/31/2025 making the employees vacation balance 493.33 hours. Because this employees cap on vacation leave is 480 hours, WFM decreases the balance by 13.33 hours. The employee also took 8 hours of vacation on 1/31/2025, which was decremented, leaving an ending balance of vacation leave of 472 hours.

Note that this is not the cap balance for everyone’s vacation leave. Please see your handbook and agreement for your specific cap on leave.
